Job Summary:
The Administrative Officer in the Sustainability and Environmental industry is responsible for providing administrative support to ensure efficient operation of the office. This role involves coordinating office activities, managing schedules, handling communications, and assisting with various administrative tasks.

Key Responsibilities:

1.⁠ ⁠Office Management:

  • ⁠ ⁠Oversee daily office operations to ensure efficiency and productivity.
    •⁠ ⁠Maintain office supplies and equipment, placing orders when necessary.
    •⁠ ⁠Ensure the office environment is clean, organized, and safe.

2.⁠ ⁠Communication:
•⁠ ⁠Handle incoming and outgoing communications, including emails, phone calls, and mail.
•⁠ ⁠Prepare and distribute internal communications, such as memos, announcements, and reports.
•⁠ ⁠Act as the point of contact for internal and external stakeholders.

3.⁠ ⁠Scheduling and Coordination:
•⁠ ⁠Manage schedules and appointments for senior management and team members.
•⁠ ⁠Coordinate meetings, conferences, and travel arrangements.
•⁠ ⁠Prepare meeting agendas, take minutes, and follow up on action items.

4.⁠ ⁠Documentation and Record Keeping:
•⁠ ⁠Maintain and update company records, databases, and filing systems.
•⁠ ⁠Ensure compliance with company policies and industry regulations regarding documentation.
•⁠ ⁠Assist with the preparation and submission of regulatory reports and documents.

5.⁠ ⁠Support Services:
•⁠ ⁠Provide administrative support to various departments, including HR, finance, and operations.
•⁠ ⁠Assist with the onboarding process for new employees, including orientation and training.
•⁠ ⁠Support project management activities, including tracking progress and updating project files.

6.⁠ ⁠Vendor and Contract Management:
•⁠ ⁠Liaise with vendors and service providers to ensure timely delivery of goods and services.
•⁠ ⁠Assist with the preparation and management of contracts and service agreements.
•⁠ ⁠Monitor and manage office budgets, including expenses related to supplies and services.

7.⁠ ⁠Health, Safety, and Environment (HSE):
•⁠ ⁠Support HSE initiatives and ensure compliance with industry safety standards.
•⁠ ⁠Assist in organizing HSE training and awareness programs for staff.
•⁠ ⁠Maintain HSE records and documentation.

8.⁠ ⁠Event Planning:
•⁠ ⁠Assist in planning and organizing company events, such as employee training sessions, team-building activities, and corporate functions.
•⁠ ⁠Coordinate logistics for off-site meetings and events.

Qualifications:
•⁠ ⁠Bachelor’s degree in Business Administration, Management, or a related field.
•⁠ ⁠Minimum of 2 years of experience in an administrative role.
•⁠ ⁠Strong organizational and multitasking skills with attention to detail.
•⁠ ⁠Excellent communication and interpersonal skills.
•⁠ ⁠Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
•⁠ ⁠Familiarity with office management software and tools.
•⁠ ⁠Ability to handle sensitive information with confidentiality and discretion.
